Responsibilities Following P&P Approval

Authors are expected to keep the P&P committee informed and/or request review as outlined below about developments relating to approved submissions, either by communicating with the P&P coordinator or revising submissions on the website. Use the "My Page" link in the navigation menu to access your submissions.

Proposals

Authorship changes: Update the author list in the Basics tab and provide a cover note. A formal review will be conducted if the first author has changed, but otherwise the changes will be sent to the P&P committee as an FYI.

Shift in scope, or major changes to the analysis plan: Upload a new version of your topic proposal or abstract and revise submission fields as needed — you should edit the existing submission page rather than starting a new one. Provide a cover note explaining the changes.

When you are ready to submit an abstract or manuscript: Products of an approved topic proposal require review by the P&P committee. Return to the original topic proposal, complete the relevant sections of the submission form, and upload a copy of your abstract or manuscript.

Manuscripts and Conference Abstracts

After P&P approval, authors need to keep the DAP informed (via the publications committee website) of accepted conference abstracts and published manuscripts.

Abstracts: Update the Conference Abstracts tab after acceptance to a conference. If you intend to submit the same or similar abstract to another conference, click "Add another item" near the bottom of the page, complete the fields.

Manuscripts: Update the Publication Status tab after acceptance by a journal. Ensure adherence to NIH policy for submission to Pubmed Central (PMC) – manuscript must be publicly available within 12 months of publication. When a publication has a PMID or PMCID, authors should report this information by updating the Publication Status tab or alerting the P&P coordinator.

PMCID resources:

  • NIH Policy for PubMed Central (PMC) (post-publication requirement)
  • PubMed Central Submission Assistance
  • NIHMS tutorials (how to upload to PMC)
  • Reporting acceptance and publication information to DAP P&P

After a manuscript is accepted for publication, contact the DAP External Communications Team. They will work with you to develop a blog post on the DAP website publicizing your research.
